2. Scope
This policy applies to personal information collected through our website, contact forms, enrolment processes, in-person and online training sessions, corporate workshop bookings, alumni forums, and any other channel where we identify ourselves as AI Earning Engine Inc. It does not apply to third-party websites linked from our pages, AI tool providers (such as OpenAI, Microsoft, or Anthropic) that you access with your own accounts, or social media platforms where we maintain a presence.

When you contact us, enrol in a programme, or register for a corporate workshop, we may collect:

- Employer name and job title (optional, for corporate bookings)
- Payment information processed by our payment processor (we do not store full credit card numbers on our servers)
- Messages, questions, and attachments you send via contact forms or email
- PIPEDA consent records and communication preferences
- Course assignments, capstone materials, and peer feedback you submit during training

When you visit our website, we may automatically collect:

Other information is collected under legitimate interests, such as server logs for security, balanced against your privacy rights.

We do not sell personal information. We may disclose information to:
- Service providers: Payment processors, email delivery services, cloud hosting providers, and learning management tools under contractual obligations to protect data and use it only for specified purposes.

7. Retention
We retain personal information only as long as necessary for the purposes described in this policy:
- Contact form submissions: three years from last interaction unless a business relationship continues.
- Enrolment and payment records: seven years from the end of the fiscal year for tax compliance.
- Course assignments and capstone materials: two years after programme completion, then deleted or anonymised unless you request earlier deletion.

- Server logs: ninety days unless required for security investigation.
8. Security
We implement administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold. 11. AI tools and class materials
During courses, you may use third-party AI tools with your own accounts. Those providers have separate privacy policies governing data you input into their systems. We instruct learners not to submit confidential employer data or client personally identifiable information into AI tools without written authorisation. Assignments you submit to facilitators for feedback are stored on our systems as described in Section 7.
12. Changes to this policy
We may update this Privacy Policy to reflect changes in our practices or legal requirements. The "Last updated" date at the top will be revised, and material changes will be communicated via website notice or email to enrolled learners where appropriate. Continued use of our website after changes constitutes acceptance of the updated policy for non-enrolled visitors; enrolled learners will be notified of changes affecting course data handling.

14. Provincial privacy rights
Residents of Ontario may have additional rights under provincial privacy legislation applicable to certain types of organisations. While AI Earning Engine Inc. is primarily subject to PIPEDA as a federally regulated commercial entity, we extend the access, correction, and complaint procedures described in Section 9 to all Canadian residents regardless of province. If you reside outside Canada and contact us regarding our courses, we apply comparable safeguards to cross-border data transfers as described in Section 6.
